Media library

The media library holds the organization's images and videos for assistants to send to customers: a pricing image, an intro video, a logo. Files here are public by URL, so only upload content that is ready to share. Storage is shared with documents in Knowledge and counts against your plan.

Two videos: upload and manage files, then use one in a static message so customers receive the image in chat.

The Media library page shows a grid of files, the storage bar against your plan and an Upload button. Every file has a title, a description and a public URL.

Use it when: Before creating an image or video static message, or when you need a stable image URL (an organization logo, say).

Steps

  1. 1Open Media library in the sidebar. The bar on top shows Storage used against your plan and the Max 5.00 GB per file limit.
  2. 2Click Upload, then drag and drop or choose files: JPG, PNG, WebP, MP4 and WebM are accepted. Click Start upload; a file with an existing name asks whether to overwrite or skip. Close when done.
  3. 3The new file appears in the grid labelled Image or Video. Filter with the All, Images, Videos tabs or type in Search by file name.
  4. 4Click Preview to open the file with its details; set a Title to show instead of the file name, add a Description if you like, then Save changes.
  5. 5The preview shows the Public URL. The three-dot menu on a card: Open, Copy URL, Delete.

Good to know

  • Files are public; anyone with the URL can view them, so never upload private content.
  • Only Owners and Admins can upload or delete; other members can only view. Storage is shared with Knowledge.

Outcome: An image in the library with a clear title and a public URL, ready to attach to a message.

Media is used most in static messages of type Image or Video. Attach that message to First action, a Condition or a Q&A follow-up and the customer receives the exact file in chat.

Use it when: You want the assistant to send a pricing image, a how-to video or a product photo exactly as approved.

Steps

  1. 1Open Toolkit, Static Message, Add message: name it and pick the Image type.
  2. 2Click Choose image from the media library: only uploaded, ready files appear. Search by title, pick the image, preview it right there, then save.
  3. 3Open Agents, First action tab, add a Message action and pick the message you just created. Save and publish.
  4. 4Open Try it, Start test: the image shows in the chat window, served straight from the library's public URL.
  5. 5Images generated in AI Chat can be saved here too with the Save to Media button, so they survive chat history expiry.

Good to know

  • Deleting a file is permanent and any message using it loses its image: remove the action from the assistant, delete the message, then delete the file (three-dot menu, Delete, confirm Delete media?).

Outcome: Customers opening the chat receive an image from the library; you know how to save AI Chat images and delete files safely.
